Position: Administrative Assistant
Location: Victoria, BC or Remote (Canada-based)
Reporting To: Advisory Board Chair

Position Overview: We are seeking a highly organized and proactive Administrative Assistant to support the Advisory Board. The ideal candidate will be responsible for managing inquiries, preparing documents and reports, and assisting in organizing events and communications. This role is critical in ensuring the smooth operation of our advisory board and supporting the broader mission of CADSolar.

This position is funded for 20 hrs/week.

Key Responsibilities:

  • Inquiries Management: Respond to and manage incoming inquiries via email and phone, ensuring timely and professional communication.
  • Document Preparation: Prepare, proofread, and distribute various documents and reports, including meeting agendas, minutes, and presentations.
  • Event Assistance: Assist in the planning and coordination of events, meetings, and webinars, including scheduling, logistics, and communication with participants.
  • Communications Support: Assist with internal and external communications, including drafting correspondence, newsletters, and updates for CADSolar members and stakeholders.
  • Administrative Support: Provide general administrative support to the Advisory Board Chair and other members of the advisory board as needed.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual meeting platforms (e.g., Zoom, Teams).
  • Ability to work independently and remotely with minimal supervision.
  • High attention to detail and commitment to accuracy.
  • Knowledge of the solar industry or interest in renewable energy is a plus.
